All of the world’s great libraries contain multitudes of metadata so that users can easily search and find what they are looking for, and yours will too! Metadata is the information that surrounds your assets, making them more easily findable and also imparting important information about them. By thinking carefully about this information, you will be setting users up for success when they go to search for assets in your digital library.
Image Relay automatically includes the filename, size, format, the name of the person who uploaded it, and date it was uploaded and last modified. It also includes any IPTC data that is linked to images, which is an international photographic standard that many photographers use.
It is important to remember that all metadata, from the creator name, file name, to any information that you enter is indexed. This means that it will show up in any search you perform.

Simple Metadata
All plans come with three pre-set asset profile fields: Caption, Description, Date. Within these fields, you can enter any information that you want. This is something that you will want to think carefully about and share with others who are uploading content. You may wish to include the creator of the asset, or a list of words that describe what it is. You can also include any rights information in these fields.

Tag Sets and Tags
The Tag Sets feature allows you to create a controlled vocabulary. A controlled vocabulary is a list of pre-established terms that you can use throughout your library that makes adding information to an asset faster and easier and keeps your team using consistent terms. For example, you may want your contributors to use "color" instead of "colour" to describe assets or make sure the name of an organization's leader or executive is consistently spelled throughout the library. Or you may want to provide a set list of cities that users can Tag assets with. Tag Sets give you the controlled vocabulary to make that happen.
When you enter them in the Tags field, they are hyperlinked, and by clicking on the link, all results with that tag will then be returned. You can also use your Tags to search in the Advanced Search section.
Custom Metadata Templates
In some plans, you are able to create a custom metadata template, or "metadata schema," as it is known by librarians. You can choose the fields that are relevant to your organization so that the correct information shows up in each field.

Metadata Templates allow you to customize the fields you use to describe and display the information around all of your assets. Some examples of fields that you might wish to include are Title, Usage, Size, Campaign, Creator or Season. It will all depend on what kind of business you have and what kind of files you are uploading.
We recommend that you have one asset profile that you use throughout the system. However if you do feel the need for very different fields for different assets, you can created multiple asset profiles. For example, you could have Document template for any text documents that are uploaded to Image Relay that have fields including Title, Creator, and Use. You could also have an Image template that has the fields Title, Description, Creator. You could have a template for packaging graphics that include Product, Size, Creator.
