Reviewing and commenting on an existing proof will include a process that is dependent on whether a reviewer is a Proof User included within one of the proof's stages or an invited Guest User. How one is able to review the proof also depends on whether they have view, comment, decision, or management access as well.
This Article will discuss:
- Reviewing Proofs as a Proof User
- Reviewing Proofs as a Guest User
- Marking and Commenting on a Proof for Review
- Making a Proof Decision
Proof Users have access to proofs from within Image Relay by navigating to Tools> Digital Proofing, and selecting My Proofs or from Proofs to Review in the lefthand vertical menu. To be able to launch the Proof Viewer to view and comment, a Proof User must be included in at least one stage of the proof with the necessary access settings.
Guest Users will access all proofs through the email invitations they receive from the Proof User.
1. Reviewing Proofs as a Proof User
Proof Users can view the progress of all proof stages while in the Proof Viewer by clicking the Proof Details icon and selecting Details. The progress of each stage can be found within the Workflow tab of that window.
In addition to the overall progress of every stage, a proof user or owner can view the progress of each invited user with the following Progress bar, described below in order:
- Sent: The proof was sent to the user
- Opened: The user has at least launched the viewer.
- Commented: The invited user has commented on the proof.
- Decision: The user has made their decision on the proof.
The progress bar updates for a stage when all invited users have completed all progress markers for the proof.
An individual progress bar updates as users each complete their own review process with the proof.
2. Reviewing Proofs as a Guest User
Guest Users can access the Proof details and progress bar by selecting the Details icon in the Proof Viewer, after accessing the viewer through their invitation link.
Guest Users are able to only view the progress of the stages they are invited to, but they are also able to see the progress of other users within that stage.
3. Marking and Commenting on a Proof for Review
Please note that only users given commenting access can markup and comment on a proof.
Commenting on a Proof can be done by either clicking the Markup arrow from the page view menu to manually mark where in the asset a change must be made and writing in the comment box that appears on the right, or by going directly to the comment box on the right-hand side of the proof viewer and using the commenting markup tools.
Markup tools:
- The undo/ redo buttons help to undo or retrieve an undone comment or action by you.
- Allow you to choose how you will notate on the asset, allowing you to circle, box, point to, underline or strike through, and freehand your markups.
- Allows you to select your markup color from the options provided
To view the existing markups and all comments, click the show/hide comments icon in the far right.
4. Making a Proof Decision
Please note that only users given decision access can make a decision on a proof.
The center button in the Proof viewer allows those with decision-making access to make a decision to either approve the proof when ready, mark as not relevant, or mark it as changes required.
Proof Decisions:
- Decision Pending: The default option before a decision is made
- Approved: Approval will lock the stage to prevent further comments from being made on the proof. An approval means that the proof has met all of the necessary feedback and change requirements for that stage.
- Changes Required: Marks the proof for further development and review. This may lead to an alternate version of the proof for more review, or further feedback and minimal changes before approval.
- Not Relevant: Marking the stage as Not Relevant notes that a decision was made for the stage without changes being required and without proof approval.
