Proofs must all contain an asset, a member and a stage at minimum to be created. The details of a proof can be found at the top of the proof creation view and contain the following information:
Proof Navigation
Name: The name of the proof can be edited by clicking on and typing within the text field.
Proof Details: Underneath the name, these note which version the proof is at, the decision status of the proof, the proof owner, the completion status of the proof, whether or not the proof is locked, and the creation date.
Input Assets: Contains the thumbnail photo, content type, and size of the included asset for the proof. Selecting Add Assets allows you to include further assets from the library in the proof review.
Stage Navigation
Stages are review groups for a proof's asset(s), assigned by the Proof Owner. This is where Guest Users are added to allow access to the proof viewer. Stages may also come pre-filled with members if a Proof Template exists for a common proof review instance.
Stage Name: The very top of a Proof contains the Stage name, and can be edited by clicking and typing within the text field. The stage name can describe the department or team reviewing the proof, or it can describe the stage of the review (quality assurance, marketing, sales, etc.).
Deadline: Allows the Proof Owner to set a deadline for viewers to give feedback for the proof. They are notified of the deadline when they receive the proof viewer link.
Comment Settings: Gives the owner the ability to allow public and private comments between commenters of the proof within that stage.
Email: The first email is the proof owner by default. Each email row contains a text field for a guest user's email address, and three checkboxes where a Proof Owner can configure that user's access to the proof:
- Comment: The User has the ability to make and respond to comments on the proof.
- Decision: The user can make decisions on the proof (Approve, Not Relevant, Changes Required)
- Manage: The User has the ability to add new proof versions, delete previous versions, lock and unlock the proof, and edit proof settings, as well as being able to view and delete other comments for the proof. Guest Users will not be able to manage a proof
Additional emails can be added by clicking the Add New Member button underneath the email field.
Add New Stage: Allows the Proof Owner to add additional stages and create additional review groups with their own personalized access settings.
