Digital Proofing ensures that stakeholders and decision-makers now have a streamlined process to provide feedback for assets and make necessary changes efficiently.
The Proofing Process:
Digital Proofing can have various uses but is in essence a tool that allows proof users to upload assets from the library, comment on potential changes to make for its internal use or for the market, and collect feedback and approval from invited guest users of the proof before a decision is made for the final product to be used.
Below is a basic outline of a standard proofing process:
1. Creating the Proof Draft: A Proofing User is a licensed user able to open the Proofing tool from within the Tools tab of Image Relay. From the proofing screen, they can either create a new proof, where they are able to determine the number of stages necessary for the proof review process, or can choose from an applicable proof template, with prefilled stages that can also be edited if necessary.
2. Determining the Number of Stages Necessary: Stages are points of the review process that can be separated by department or for a specific team's feedback (such as Marketing team, Quality Assurance, Sales, etc.). The Proof Owner is able to assign and invite specific team members as guest users to access and comment on the proof within that stage. The proof owner can also determine who within that stage can make a final decision, comment, manage the proof entirely, and make changes, or just be able to view the proof. Stages can be completed separately from each other and are not impacted by each other.
3. Beginning the Proof Review Process: Once the proof is created, all users will receive a notification that they have been invited to review the Proof. Guest Users will continue to access their proof via a proof link contained within the proof. If given access, they can comment on the proof viewer and submit feedback in the proof chat. Proof Users will be able to access the proof through the Tools tab within the library, and by clicking 'My Proofs' in the Proof Menu.
4. Continuing through Proof Stages: When a Stage has had feedback from all members of the stage, the Proof Owner or a member with the necessary access given (the Decision setting) can make a final decision to approve, mark as not relevant, that changes are required.
- Approval will lock the stage to prevent further comments being made on the proof. An approval means that the proof has met all of the necessary feedback and change requirements for that stage.
- Marking the stage as Not Relevant notes that a decision was made for the stage without changes being required and without proof approval.
- Changes Required marks the proof for further development and review. This may lead to an alternate version of the proof for more review, or further feedback and minimal changes before approval.
5. Continuing to a new Version of the Proof or Making a Final Decision: When a new version of a proof is created during the proofing process based on user feedback, the stages as they are will lock and start anew with the current version. This prevents users from continuing to comment on the prior version, and allows previous stage members to provide necessary feedback on the new version before final approval as the proof is decided on. Previous decisions made on older versions also do not transfer to the new proof version.
After all stages are marked complete the proofing process is finished. The Proof will be automatically added to the completed proofs menu.
